These terms cover safesystems.tech and the tools we operate under it, including the Process Cost Calculator and the paid Automation Brief. By using the site or a tool, you agree to them. If you're using them on behalf of a company, you're confirming you have the authority to accept these terms for that company.
What the free calculator is
The Process Cost Calculator is a free tool, limited to three processes per session. Every figure it shows is built entirely from numbers you enter. We don't verify, audit, or guarantee the accuracy of anything you input, and the results are estimates for comparing your own processes against each other — not a financial audit, and not a guarantee of savings if you automate anything.
Default values shown in the tool (working weeks, hourly rate, an automation percentage, an implementation cost) are starting points for modelling, not benchmarks. Nothing the tool shows is a claim about what automation will achieve for your specific business.
What the paid Automation Brief is
For €29, we generate a written document expanding on your top-ranked process, combining the calculator's numbers with a short set of questions you answer about how the process actually runs. It is a planning document — a specification to hand to whoever might build an automation — not an implementation, not a guarantee the automation will work, and not professional financial or legal advice.
What we check before delivering it
Every figure in the brief is checked against the numbers you provided before it's sent to you. If the check fails, generation stops, you're told plainly, and nothing further is charged for that attempt. You're entitled to a limited number of retries; if generation keeps failing, contact us and we'll sort it out directly rather than keep charging attempts.
Payment and refunds
- Payment for the Automation Brief is processed by Stripe at the time of purchase.
- If your brief fails to generate after the retries described above, you're not charged further, and you can ask for a refund of the original charge.
- If the brief generates successfully and you're simply unhappy with what it says — including if it tells you not to automate the process — that's the tool doing its job, not a basis for a refund. Contact us anyway if something seems genuinely wrong; we'll look at it in good faith.
Implementation work
Automation implementation, priced from €300 depending on complexity, is a separate, individually scoped engagement — not something you purchase automatically from the calculator or the brief. If you want this, get in touch and we'll agree scope and price before any work starts.
Your data, briefly
See our Privacy Policy for the full detail. In short: what you type into the free calculator stays in your browser unless you choose to buy a brief. Payment details never touch our servers — Stripe handles them directly.
What we don't promise
- That the site or tools will be available without interruption.
- That figures the tools produce will match what a professional audit would find.
- That automating a process the tool says is worth automating will produce the exact savings shown — those are estimates built from your inputs, not a forecast.
Liability
The tools are provided as-is. To the extent permitted by law, Safe Systems isn't liable for business decisions made on the basis of a calculator result or a brief — they're decision-support material, and the decision to act on them is yours.
Changes
We may update these terms as the tools change. If a change materially affects a paid brief you already own, we'll honour the terms in place when you bought it.
